Accounting: Invoices and Receipts over a period

Detailed information about all the invoices issued > before and after discounts, provider involvement %, expenses, GST, commissions and all the payments received over the selected period of time (including deposits) and reversals/refunds for each provider. Click here for further instruction

Active Patients

Counts the unique NUMBER of patients seen / treated (no duplication) within a period of time for particular providers and or within a location. Click here for further instruction

All Patients list

This report will generate a list of all the patients in the system whether they have had treatment or no treatment. The report will list all patients alphabetically, by provider and include Card number, address, DOB, Phone numbers and email address if applicable. Click here for further instruction

Automated Clinical Reports Log

All notes in D4W/PSS can be audited. The audit will show the original state and current state of the notes, as well as who created and/or modified the notes. Click here for further instruction 

Birthday list

A list of patients whose birthday falls in the specified period. Searches the DOB information entered in the patient details screen. For example: If we are now in August and you select next month, it will search for patients with birthdays from 1st September to 30th September inclusive and ignore the year. Click here for further instruction

Clinical notes Log Audit

Audit on all clinical notes by Dates, time, creation and By whom. Includes original notes and changed note. Click here for further instruction

Clinical Treat Notes by item

Generate a report on any clinical note entries, changes, deletions from selected item in list. Click here for further instruction

Commission details on Invoices raised

The ‘Commission Details on Invoices raised’ report would be used if providers are paid:
a/ From Invoices (not receipts) generated.
b/ The providers’ income amount is based on a commission calculation from those invoices

Deposit Allocation Report

This report generates a list of all deposits that have been allocated to an outstanding invoice with details of the percentage and amount involved for each provider. Click here for further instruction

Discount Categories Report

Discounts are also calculated in the Accounting: Invoices and Receipts over a period report, however, to view more detailed analysis or by specific discount category name, this separate discount report is available. Click here for further instruction

Efficiency of Referral Sources (Financial Results)

Total financial results ($) and share in income (%) details from all referral sources. Click here for further instruction

Efficiency of referral Sources (New Patients)

Patient names, number of appointments made and number of real visits from selected referral sources. Click here for further instruction

Employee Details Report

Shows information on all expenses you have added to treatment over a period of time.

Health Fund Comparison Report

The Health Fund Comparison Report provides the user with a comparison of all health fund rebates that have been entered into D4W. 

These figures rely on the correct rebates entered into Insurance Plans, and does not calculate rebates entered by insurance claiming systems such as Tyro, HICAPS etc.

Recall Message Type Effectiveness Report

This report shows the number of patients included in a recall batch who have booked an appointment as a result of the recall communication. Patients are categorised into the reminder method used. Click here for further instruction

Receipts on ‘Hold’ from banking

If you have put payments on Hold from banking, you are able to view a list of these payments. Click here for further instruction

Report on Other Details from Patients

Single Visit Patient

SMS Messaging Report

A list of all SMS messages sent to patients. In the report you will find Date/time sent SMS from (Appointment Book, Patient details, Recalls and / or Queries), the Patient details incl name & appt booking if any, SMS type sent, Phone number and Count (how many sent). Click here for further instruction

Staff Attendance Times

Find attendance information for each staff member. Keep track or use as a timesheet for staff start and finish times. Click here for further instruction

Total Receipts

The Total Receipts report generates a list of all payments that have been entered for a selected date range. Click here for further instruction

Treatment incomplete Report

This report searches for patients with incomplete treatment with no future appointment where:
Patient has a treatment plan but the plan is incomplete (‘active plan’ box is ticked)
Patients with ‘treatment complete’ box un-ticked. Click here for further instruction

Treatment Plan Status

Upload ADA DelDC data file

De-Identified Data Capture (DeIDC) is the system which allows the direct uploading of statistical information from Member’s dental4windows systems to the Australian Dental Association (ADA), eliminating the need for members to manually respond to the annual fees survey. Click here for further instruction
